Description

The i.d.e.a.WF Coordinator is responsible for planning, coordinating, and executing all aspects of the annual i.d.e.a.WF business competition. This role ensures smooth operations from initial planning through post-event follow-up, engaging community stakeholders, sponsors, media partners, judges, students, and local entrepreneurs. The Coordinator will serve as the central point of contact for communications, logistics, and program administration to promote entrepreneurship in the Wichita Falls region.


Key Responsibilities

Event Planning & Logistics

  •        Develop and manage the annual i.d.e.a.WF competition timeline.
  •        Reserve facilities, classrooms, and meeting spaces for orientations, pitches, and the awards luncheon.
  •        Coordinate catering, decorations, audio/visual needs, signage, and event setup.
  •        Oversee ticketing and registration systems, including electronic payment setup.
  •        Prepare seating charts, name cards, sponsor signage, and large presentation checks.

Marketing & Communications

  •        Manage updates to the i.d.e.a.WF website and social media platforms.
  •        Develop press releases, public service announcements (PSAs), and media kits.
  •        Schedule TV, radio, and newspaper coverage, including interviews with past winners and finalists.
  •        Create promotional materials such as flyers, programs, and sponsor recognition items.

Sponsor & Stakeholder Engagement

  •        Identify, solicit, and manage sponsorship opportunities.
  •        Develop and maintain sponsor levels and benefits.
  •        Prepare and send sponsor invoices, track payments, and coordinate promotional recognition.
  •        Communicate with judges, chambers of commerce, advisory board members, and community leaders.

Competition Support

  •        Coordinate orientation sessions for participants.
  •        Manage submissions, finalist communications, and practice pitch sessions.
  •        Organize judges' materials, folders, name plates, and scoring logistics.
  •        Support finalists with bios, headshots, and media exposure.
  •        Record and photograph presentations, pitches, and events.

Post-Event Responsibilities

  •        Publish winners' information on social media, website, and media outlets.
  •        Send thank-you notes to sponsors, judges, and stakeholders.
  •        Collect, organize, and archive event photos, videos, and promotional materials.
  •        Prepare evaluation notes and recommendations for the following year.

Qualifications

  •     Bachelor's degree preferred (Business, Marketing, Communications, or related field).
  •     Strong organizational and project management skills.
  •     Excellent written and verbal communication abilities.
  •     Ability to manage multiple priorities and deadlines.
  •     Experience with event planning, fundraising, or program coordination preferred.
  •     Proficiency in Microsoft Office, social media platforms, and basic website management.
  •     Comfortable working with community leaders, business professionals, and students.

Standard Requirements

Requires the ability to maintain positive working relationships with students, faculty, staff, and the community. Personal cell phone usage may be required to complete position duties, including multi-function authentication requirements. Regular reliable attendance is required.
