Description

The i.d.e.a.WF Coordinator is responsible for planning, coordinating, and executing all aspects of the annual i.d.e.a.WF business competition. This role ensures smooth operations from initial planning through post-event follow-up, engaging community stakeholders, sponsors, media partners, judges, students, and local entrepreneurs. The Coordinator will serve as the central point of contact for communications, logistics, and program administration to promote entrepreneurship in the Wichita Falls region.


Key Responsibilities

Event Planning & Logistics

  • Support the development and management of the annual competition timeline.
  • Assist with reserving facilities, meeting spaces, and event venues.
  • Coordinate basic event logistics, including catering, A/V needs, signage, and event setup.
  • Help maintain ticketing and registration systems and assist with electronic payment processes.

Marketing & Communications

  • Assist with updates to the i.d.e.a.WF website and social media platforms.
  • Draft promotional content such as press releases, PSAs, and event announcements.
  • Coordinate scheduling for limited media coverage and interviews.
  • Prepare essential promotional materials including flyers, programs, and sponsor recognition items.

Sponsor & Stakeholder Engagement

  • Support outreach to sponsors and community partners.
  • Maintain sponsor records, track payments, and assist with benefit fulfillment.
  • Communicate with judges, chambers of commerce, advisory board members, and community leaders as needed.

Competition Support

  • Assist with participant orientations and communication with entrants and finalists.
  • Help organize judges’ materials, scoring sheets, and event-day folders.
  • Coordinate finalist bios, headshots, and limited media content.
  • Record presentations or events when needed and manage basic photo/video organization.

Post-Event Responsibilities

  • Share winners’ information on social media and the website.
  • Send thank-you messages to sponsors, judges, and stakeholders.
  • Organize event photos, videos, and promotional materials for archival purposes.
  • Assist with collecting feedback and preparing notes for the following year.

Other Duties

  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree preferred (Accounting, Business, Marketing, Communications, or related field).
  • Strong organizational and project management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience with event planning, program coordination, or fundraising preferred.
  • Proficiency with Microsoft Office, social media platforms, and basic website management.
  • Comfortable working with community leaders, business professionals, and students.

Requires the ability to maintain positive working relationships with students, faculty, staff, and the community.
